4.2 Age Verification and Enrollment

- Services are available to students in grades K-12 (typically ages 5-18), and we may request birth certificates or other official documents to verify student age during the enrollment process.

- Age verification may be required during enrollment to ensure we provide age-appropriate educational content and comply with federal privacy laws that have different requirements for different age groups.

- Special accommodations are available for students with Individual Education Programs (IEPs) or 504 plans, which are formal documents that outline specific learning supports and modifications needed for students with disabilities.

4.3 Academic Records

- All academic records are maintained according to FERPA requirements, which means we keep detailed, secure records of your child's grades, assignments, and educational progress throughout their enrollment.

- Official transcripts will be provided upon request following proper identity verification procedures to ensure we're releasing records only to authorized individuals. There may be a small processing fee for transcript requests.

- Student records are retained following state and federal guidelines for a minimum of 5 years after graduation or withdrawal, ensuring that transcripts and academic documentation remain available for college applications or employment verification.

5. PRIVACY AND DATA PROTECTION

5.1 FERPA Compliance

Skhillz Academy complies with the Family Educational Rights and Privacy Act (FERPA), which is a federal law that protects the privacy of student education records and gives parents specific rights over their child's educational information. Parents/guardians have the right to:

- Inspect and review their student's education records within 45 days of making a request, including grades, attendance records, disciplinary records, and any notes kept by teachers about the student.

- Request amendment of inaccurate or misleading records by submitting a written request that clearly identifies the information they believe is incorrect and explaining why it should be changed.

- Control disclosure of personally identifiable information from their child's education records, meaning we cannot share academic information with outside parties without written consent except in specific circumstances allowed by law.

5.2 COPPA Compliance

For students under 13, we adhere to the Children's Online Privacy Protection Act (COPPA), which requires special protections for young children's personal information collected online:

- Parental consent is required before we collect any personal information from children under 13, including names, email addresses, photos, or any other identifying information.

- We limit data collection to information that is directly necessary for educational purposes only, such as academic progress tracking and communication between teachers and students.

- All student information is handled and stored using secure, encrypted systems with regular security updates and staff training on proper privacy protection procedures.

5.3 Data Security

- All student data is encrypted both when it's being transmitted over the internet and when it's stored on our servers, using industry-standard security protocols that make the information unreadable to unauthorized users.

- We conduct regular security audits and system updates to identify and fix potential vulnerabilities, working with cybersecurity professionals to ensure our systems meet the highest safety standards.

- All staff members receive comprehensive training on privacy protection laws and procedures, including how to handle student information securely and what to do if they suspect a privacy breach.

- We have detailed incident response procedures for data breaches that include immediate containment of the issue, notification of affected families within legally required timeframes, and steps to prevent similar incidents in the future.

5.4 Third-Party Services

We may use third-party educational technology tools. All vendors must comply with student privacy laws and sign appropriate data protection agreements.
