2. ACCEPTED PAYMENT METHODS
2.1 Credit and Debit Cards
We accept major credit and debit cards for convenient and secure payment processing:
Accepted card types include Visa, MasterCard, American Express, and Discover cards issued by recognized financial institutions, providing families with flexible payment options that offer consumer protection and reward programs
Card security requirements mandate that all credit and debit card transactions are processed through secure, encrypted payment systems that comply with Payment Card Industry (PCI) Data Security Standards to protect sensitive financial information
Authorization procedures require valid cardholder authorization for all transactions, including verification of billing address, security codes, and cardholder identity to prevent fraudulent charges and protect both families and the school from financial loss
International cards issued by foreign banks may be accepted subject to additional verification procedures and potential foreign transaction fees charged by the card issuer, though families should verify international payment capability with their financial institution
Automatic recurring payments can be established for monthly or quarterly payment plans using stored credit or debit card information, with families retaining the right to modify or cancel automatic payments with appropriate advance notice
2.2 Bank Transfers and ACH Payments
Electronic bank transfers provide a cost-effective payment method for larger tuition amounts:
Automated Clearing House (ACH) transfers directly from family checking or savings accounts to Skhillz Academy accounts, typically processing within 2-3 business days and offering lower transaction costs than credit card payments
Bank account verification requiring families to provide routing numbers, account numbers, and bank account authorization forms to establish secure electronic transfer arrangements that protect against unauthorized transactions
Processing timeline with ACH payments typically taking 3-5 business days to complete, requiring families to initiate payments sufficiently in advance of payment due dates to ensure timely processing and avoid late fees
Return payment fees applied when bank transfers are rejected due to insufficient funds, closed accounts, or incorrect banking information, with families responsible for any bank fees charged to Skhillz Academy for returned payments
Recurring ACH arrangements available for families who prefer automatic monthly or quarterly tuition payments, with written authorization required and the ability to modify or cancel arrangements with 30 days advance notice
2.3 Personal and Cashier's Checks
Traditional check payments remain available for families who prefer paper-based payment methods:
Personal check requirements including checks drawn on U.S. banks, complete payment information including student name and account number, and sufficient funds available at the time of payment processing
Cashier's checks and money orders accepted for large payments or when personal check payment history raises concerns, providing guaranteed payment security and faster fund availability for tuition processing
Check processing procedures with deposits typically made within 2-3 business days of receipt, electronic check conversion that may result in immediate account debiting, and secure handling procedures to protect families' banking information
Returned check policies including fees for checks returned due to insufficient funds, closed accounts, or stop payment orders, with potential requirements for future payments via guaranteed payment methods such as cashier's checks or electronic transfers
Check mailing address for families sending payments by mail, with recommendations for certified mail or tracking services to ensure payments are received and processed in time to meet due date requirements
2.4 Wire Transfers
For large payments or international families, wire transfers provide secure payment processing:
Domestic wire transfers from U.S. banks for immediate payment processing, typically used for annual tuition payments or large account balances requiring guaranteed funds availability
International wire transfers from foreign banks for families residing outside the United States, subject to additional fees charged by sending and receiving banks and potential delays for international banking compliance procedures
Wire transfer requirements including complete beneficiary information, proper payment identification including student name and account details, and advance notification to our business office to ensure proper credit to student accounts
Processing fees with wire transfer costs typically paid by the sending party, though families should verify fee arrangements with their financial institutions and budget for additional costs associated with wire transfer services
Security verification including confirmation of wire transfer details before processing and immediate notification to families when wire transfers are received to ensure proper account crediting and fraud prevention
2.5 Third-Party Payment Services
Modern digital payment platforms offer additional convenience for tuition payments:
PayPal and similar services accepted for tuition payments up to specified limits, providing families with additional payment security and the ability to use various funding sources including bank accounts, credit cards, or digital wallet balances
Venmo and digital payment apps may be accepted for smaller payments such as fees or supplemental charges, though large tuition payments typically require more traditional payment methods that provide enhanced security and documentation
Payment service fees with some third-party payment processors charging additional fees that may be passed on to families, clearly disclosed before payment processing to ensure families understand total payment costs
Account verification requirements for third-party payment services including confirmation of account ownership and sufficient funds or credit availability to complete requested payments
Processing limitations including daily or monthly payment limits imposed by third-party services that may affect large tuition payments, requiring families to plan payment timing accordingly
3. PAYMENT PLANS AND SCHEDULING
3.1 Available Payment Plan Options
Skhillz Academy offers multiple payment plan options to accommodate diverse family financial situations:
Annual payment plan with full tuition paid before the start of the academic year, typically offering the largest discount for early payment and eliminating the need for monthly payment processing and potential late fees
Semester payment plans dividing annual tuition into two equal payments due before the start of each semester, providing families with manageable payment amounts while maintaining significant cost savings compared to monthly payment options
Quarterly payment plans with tuition divided into four equal payments throughout the academic year, balancing payment affordability with administrative efficiency and providing families with regular payment schedules that align with typical family budgeting cycles
Monthly payment plans spreading tuition costs across 10 or 12 monthly payments beginning before the start of the academic year, offering maximum payment flexibility while requiring careful attention to payment due dates and potential processing fees
Customized payment arrangements available in special circumstances for families with unique financial situations, irregular income schedules, or other circumstances that require alternative payment timing, subject to approval by school administration and appropriate documentation
3.2 Payment Plan Setup and Enrollment
Establishing payment plans requires completion of specific enrollment procedures:
Payment plan application including detailed financial information, preferred payment methods, and authorization for automatic payments when applicable, ensuring families understand their payment obligations and available options
Credit approval process for extended payment plans involving evaluation of payment history, financial stability, and ability to meet payment obligations throughout the academic year, protecting both families and the school from overextending financial commitments
Automatic payment authorization strongly recommended for monthly and quarterly payment plans to ensure timely payments and avoid late fees, with families maintaining the right to modify payment methods or cancel automatic arrangements with appropriate notice
Payment plan agreements documenting payment amounts, due dates, late fee policies, and consequences of payment default, creating clear expectations and legal obligations for both families and the school
Plan modification procedures allowing families to request changes to payment schedules due to changing financial circumstances, with modifications subject to approval and potential adjustment fees to cover administrative costs
3.3 Payment Due Dates and Processing
Clear payment schedules help families plan and ensure timely tuition payments:
Standard due dates typically falling on the 1st or 15th of each month for monthly payment plans, with semester and quarterly payments due at least two weeks before the start of each academic period
Grace period policies providing families with a brief period (typically 5-7 days) after the due date before late fees are assessed, allowing for minor delays in payment processing or unexpected financial circumstances
Processing time considerations requiring families to submit payments sufficiently in advance of due dates to account for bank processing times, mail delivery schedules, and payment verification procedures that may delay credit to student accounts
Holiday and weekend adjustments automatically extending due dates when they fall on bank holidays or weekends, ensuring families are not penalized for circumstances beyond their control that affect normal business operations
Early payment acceptance with payments accepted and credited at any time before due dates, helping families manage cash flow and take advantage of early payment discounts when available
4. LATE PAYMENTS AND PENALTIES
4.1 Late Payment Fee Structure
Timely payment is essential for maintaining educational services, and late fees encourage prompt payment:
Late fee amounts typically calculated as a percentage of the overdue payment amount or a flat fee per late payment, not to exceed the maximum allowed under Florida state law (currently 1.5% per month)
Assessment timeline with late fees automatically applied to accounts when payments are not received within the specified grace period after the due date, providing families with clear expectations about additional charges
Compounding policies clarifying whether late fees accumulate on unpaid balances over time and how multiple late payments are handled to ensure families understand the total cost of delayed payments
Maximum fee limitations ensuring late fees remain reasonable and do not create excessive financial burden for families experiencing temporary payment difficulties, while still encouraging timely payment compliance
Fee waiver considerations available for families experiencing documented financial hardship, medical emergencies, or other extraordinary circumstances that prevent timely payment, subject to approval by school administration
4.2 Account Suspension and Service Restrictions
Persistent late payments may result in restrictions on educational services:
Payment delinquency thresholds typically measured in days past due or number of missed payments that trigger account restrictions, providing families with clear warnings before educational services are affected
Service restriction procedures beginning with notifications and warnings, progressing to restrictions on certain educational activities, and potentially leading to suspension of access to virtual learning platforms if payment issues remain unresolved
Academic impact minimization with efforts to resolve payment issues through communication and payment plan modifications before disrupting student educational progress, recognizing that payment difficulties should not unnecessarily harm student learning
Reinstatement procedures allowing immediate restoration of full educational services upon payment of outstanding balances and any applicable late fees, ensuring students can quickly return to normal academic activities
Communication protocols including advance notification of pending restrictions, multiple attempts to contact families about payment issues, and clear instructions for resolving account delinquencies before they affect educational services
4.3 Collection Procedures
Seriously delinquent accounts may be subject to formal collection efforts:
Internal collection efforts including phone calls, written notices, and payment plan negotiations to resolve outstanding balances before engaging external collection agencies or legal action
Third-party collection agencies may be engaged for accounts with substantial unpaid balances after internal collection efforts have been unsuccessful, with families notified of collection agency involvement and their rights under debt collection laws
Credit reporting implications with seriously delinquent accounts potentially reported to credit bureaus as allowed by law, which could affect families' credit scores and future ability to obtain credit for educational or other purposes
Legal action considerations including potential civil litigation to recover unpaid tuition and fees, court costs, and attorney fees as allowed by law and specified in enrollment agreements
Payment arrangement opportunities remaining available even during collection procedures, with families encouraged to contact the business office to discuss payment plans or settlement options that can resolve accounts without further collection action
5. REFUNDS AND PAYMENT REVERSALS
5.1 Refund Processing Procedures
When refunds are approved according to our Refund Policy, payment processing follows specific procedures:
Refund calculation based on our published Refund Policy terms, with clear documentation of refund amounts, applicable fees or deductions, and timeline for processing payment reversals
Payment method matching with refunds typically issued using the same payment method originally used for tuition payment, ensuring secure processing and proper crediting to family accounts
Processing timeline with approved refunds typically processed within 30 business days, though actual receipt of funds may depend on bank processing times and credit card company procedures beyond our control
Documentation requirements including completed refund request forms, verification of payment history, and any required supporting documentation such as withdrawal forms or medical certification for special circumstances
Partial refund situations handled according to specific policy terms with clear explanation of calculations and any non-refundable fees or expenses that affect total refund amounts
5.2 Payment Disputes and Chargebacks
Credit card disputes and chargebacks require careful handling to protect all parties:
Dispute prevention through clear communication about payment policies, prompt customer service responses to billing questions, and detailed documentation of all payment transactions and educational services provided
Chargeback response procedures including immediate investigation of disputed charges, compilation of supporting documentation, and formal response to credit card companies within required timeframes to protect against fraudulent disputes
Account restrictions during disputes with potential limitations on account access or educational services while payment disputes are being resolved, protecting the school from providing services for disputed payments
Resolution documentation including written confirmation of dispute outcomes, adjustment of account balances as appropriate, and restoration of normal account status when disputes are resolved in favor of the school
Dispute prevention education helping families understand proper procedures for addressing billing concerns directly with the school before initiating credit card disputes, which can be more efficiently resolved through direct communication
6. FINANCIAL AID AND SCHOLARSHIP INTEGRATION
6.1 Financial Aid Payment Processing
Families receiving financial aid or scholarships have special payment considerations:
Aid disbursement coordination with financial aid funds typically applied directly to student accounts before families are billed for remaining balances, reducing out-of-pocket payment requirements
Timing considerations with financial aid often disbursed at the beginning of each semester, requiring families to plan for any payment obligations that occur before aid is received
Documentation requirements including completion of financial aid applications, verification of family income and assets, and maintenance of academic progress standards that may affect continued aid eligibility
Refund implications with financial aid recipients potentially required to return portions of aid funds if they withdraw from educational programs, creating additional financial obligations beyond standard tuition refund policies
Communication with aid providers including coordination with scholarship organizations, government aid programs, and other funding sources to ensure proper payment processing and compliance with aid program requirements
6.2 Employer and Third-Party Payments
When tuition is paid by employers or other organizations, special procedures apply:
Authorization requirements including written documentation from employers or sponsoring organizations confirming payment responsibility and authorized payment amounts for specific students and time periods
Direct billing arrangements with approved third-party payers receiving invoices directly and making payments according to their internal processing procedures, which may differ from standard family payment schedules
Payment guarantee policies ensuring families understand their ultimate responsibility for tuition payments if third-party payers fail to meet their obligations, protecting the school from payment defaults by external organizations
Documentation and reporting requirements that may include detailed invoicing, academic progress reports, or other information needed by employers or sponsors to process educational expense payments
Coordination challenges including potential delays in third-party payment processing, communication difficulties with large organizations, and need for families to maintain contact with both the school and their payment sponsors
7. INTERNATIONAL PAYMENT CONSIDERATIONS
7.1 Foreign Currency and Exchange Rates
International families face additional payment complexities:
Currency conversion with all tuition payments required in U.S. dollars, requiring international families to manage currency exchange through their financial institutions and plan for potential exchange rate fluctuations
Exchange rate policies clarifying that families are responsible for any currency conversion costs and that payment amounts are based on U.S. dollar tuition rates regardless of exchange rate changes during the academic year
Banking fees and charges including international wire transfer fees, foreign transaction fees, and currency conversion charges that may be imposed by banks and credit card companies for international payments
Payment timing considerations with international payments often requiring additional processing time for currency conversion, international banking compliance, and verification procedures that domestic payments do not require
Documentation requirements that may include additional verification of payment source, compliance with international banking regulations, and coordination with foreign tax and education authorities
7.2 International Banking and Compliance
Cross-border payments involve additional regulatory considerations:
Anti-money laundering compliance requiring verification of payment sources and compliance with U.S. and international banking regulations designed to prevent illegal financial activity
Tax reporting obligations with international payments potentially subject to reporting requirements under U.S. tax laws and international tax treaties, though families should consult with tax professionals about their specific obligations
Banking relationship requirements encouraging international families to establish relationships with U.S. banks or international banks with strong U.S. correspondent relationships to facilitate smoother payment processing
Regulatory changes affecting international payments due to changing banking regulations, international sanctions, or diplomatic relationships that may impact payment processing for families from certain countries
Alternative payment solutions for families in countries where traditional banking relationships with U.S. institutions are difficult, including specialized international payment services that comply with applicable regulations
8. SECURITY AND FRAUD PREVENTION
8.1 Payment Security Measures
Protecting family financial information requires comprehensive security protocols:
Encryption standards using industry-standard SSL encryption for all online payment processing, ensuring that credit card numbers, bank account information, and other sensitive financial data cannot be intercepted during transmission
PCI DSS compliance meeting Payment Card Industry Data Security Standards for handling credit card information, including secure storage, limited access, and regular security audits to protect against data breaches
Secure payment processing through established, reputable payment processors that maintain high security standards and provide additional layers of protection against fraudulent transactions
Access controls limiting staff access to payment information on a need-to-know basis, with detailed audit trails tracking who accesses payment data and when such access occurs
Regular security updates including software patches, security system upgrades, and staff training on emerging fraud threats and prevention techniques to maintain current protection levels
8.2 Fraud Detection and Prevention
Proactive fraud prevention protects both families and the school:
Transaction monitoring using automated systems to identify unusual payment patterns, large transactions from new accounts, or other indicators that may suggest fraudulent activity
Identity verification procedures for new payment methods, large payments, or payments from unfamiliar sources, including confirmation of cardholder identity and authorization for payment processing
Suspicious activity reporting with prompt investigation of potentially fraudulent transactions and coordination with law enforcement when criminal activity is suspected
Family education about common payment fraud schemes, phishing attempts targeting educational payments, and best practices for protecting financial information when making online payments
Incident response procedures including immediate action to secure accounts when fraud is detected, notification of affected families, and coordination with financial institutions to prevent additional fraudulent charges
8.3 Data Protection and Privacy
Financial information privacy requires special protection measures:
Limited data retention with payment information stored only as long as necessary for business purposes and legal requirements, followed by secure deletion to minimize privacy risks
Staff training on financial privacy requirements, appropriate handling of payment information, and consequences of unauthorized access to or disclosure of family financial data
Vendor security requirements ensuring that third-party payment processors and financial service providers maintain equivalent security standards and privacy protections for family payment information
Breach notification procedures including immediate notification of families and regulatory authorities if payment information is compromised, along with steps to protect against identity theft and financial fraud
Privacy policy integration coordinating payment privacy practices with overall school privacy policies to ensure consistent protection of all family information
9. SPECIAL PAYMENT SITUATIONS
9.1 Divorced or Separated Parents
Complex family situations require clear payment responsibility guidelines:
Court order compliance with payment responsibilities determined by divorce decrees, custody agreements, or other legal documents that specify which parent or guardian is responsible for educational expenses
Multiple payer coordination when both parents share educational expense responsibility, requiring clear communication about payment arrangements and coordination to ensure full payment without duplication
Authorization and communication ensuring that both parents receive appropriate billing information and account access while respecting privacy requirements and court-ordered communication restrictions
Dispute resolution procedures for handling disagreements between parents about payment responsibility, including referral to legal counsel when school administration cannot resolve payment disputes
Documentation requirements including copies of relevant court orders or legal agreements that establish payment responsibility and guide school communication and billing practices
9.2 Foster Care and Guardianship Situations
Students in foster care or guardianship arrangements have unique payment considerations:
State funding coordination for students in foster care who may have educational expenses covered by state agencies, requiring coordination with social services and proper documentation of funding authorization
Guardian payment authority verification ensuring that legal guardians have proper authority to make educational decisions and payment commitments on behalf of students in their care
Transitional payment planning recognizing that foster care and guardianship situations may change during the academic year, requiring flexible payment arrangements and clear procedures for transferring payment responsibility
Documentation and reporting requirements that may include coordination with social services agencies, court systems, or other legal entities involved in student custody and care arrangements
Privacy protections ensuring that sensitive information about family situations is protected while still allowing necessary communication about educational expenses and payment obligations
9.3 Military Family Considerations
Military families may have special circumstances affecting payment processing:
Deployment payment arrangements accommodating situations where military parents may have limited access to banking services or communication during deployment, requiring flexible payment timing and authorization procedures
Military pay allotment systems that may allow automatic deduction of educational expenses from military pay, providing reliable payment processing for military families when properly established
Frequent relocation considerations recognizing that military families may change addresses, banks, and financial arrangements frequently, requiring flexible payment method updates and communication procedures
Emergency payment procedures for military families facing sudden deployment, relocation, or other military-related circumstances that may disrupt normal payment processing
Benefit coordination with military education benefits, veteran benefits, or other military-related financial assistance programs that may affect family payment obligations
